What to Ask Before You Buy a Dialer: Nine Questions

Before you buy a dialer - nine questions vendors dodge

Every dialer demo looks the same: a rep clicks a button, calls connect back to back, and a counter goes up. What the demo never shows is the part that decides whether you are still using it in six months — whether your number gets flagged as spam, what your leads actually consented to, and what the bill looks like once minutes are on it.

PhoneBurner, WAVV, Kixie, the dialers embedded in white-labeled CRMs — they are all legitimate products, and this is not a pitch against them. It is the list of questions we would ask before signing, written by people building the same thing.

1. Who fixes it when my number gets flagged as spam?

This is the question that matters most and gets asked least. Dial enough numbers and carriers will eventually label yours. When that happens, your answer rate collapses and no script saves you.

Ask specifically: do they monitor your numbers' reputation, do they remediate a flagged number, and is that included or an add-on? “You can buy new numbers” is not remediation — it is a treadmill.

2. What consent evidence do you require, and what happens without it?

A dialer that will call anything you upload is not a feature, it is a liability transfer. You are the one on the hook.

Ask what the system does with a lead that has no consent record, whether it enforces calling windows in the contact’s time zone, and how do-not-contact is checked. A platform that fails closed — refusing the call rather than making it — is protecting you, even when it is annoying.

3. Single-line or multi-line, and what is your abandonment posture?

Multi-line dialers place several calls at once and drop whichever connect first. That raises contacts per hour and creates abandoned calls, which carry real regulatory exposure.

Ask what their abandonment rate policy is and whether they enforce it or leave it to you. A vendor with no opinion has made it your problem.

4. What does it actually cost with minutes on it?

Seat price is the advertised number. Talk time, recording storage, local presence numbers, and AI features are frequently metered separately, so the real monthly bill can be double the sticker.

Ask for a bill estimate at your actual volume — dials per day, average talk time — not a seat price.

5. Where does the dialer sit relative to my leads?

If your leads live in one system and your dialer in another, someone has to keep them in sync, and that someone is you. Every integration is cheap to set up and expensive to babysit.

Ask what happens to a disposition, a note, or a callback set in the dialer — does it appear on the lead record your team actually works from, immediately, without a nightly sync?

6. Can I hear a real call, or only a demo?

Audio quality and connect latency decide how many conversations survive the first three seconds. Ask to listen to a live call on their network, from your region, on your internet.

7. What is your dispositions and callback model?

One-click dispositions sound trivial until you are 200 dials into a day. Ask how a disposition becomes a follow-up: does the system schedule the next attempt, or does it just record what happened and leave the cadence to your memory?

8. What happens to my recordings and my data if I leave?

Recording policy is also a compliance question — consent requirements differ by state, and some are all-party. Ask where recordings live, how long they are kept, whether you can export them, and what the deletion path looks like.

9. Who answers the phone when it breaks at 9am?

A dialer outage is a day of lost production. Ask what support looks like during selling hours, and whether you are talking to the company that builds the product or a reseller who can only file a ticket upstream.

Where We Stand Today, Plainly

We are building this. Today the GOAT CRM has compliance-first calling and texting built into the same platform that generates and manages your leads — call windows, do-not-contact and consent enforced by the software rather than by your memory. Multi-line power dialing arrives with the dialer roadmap, and the AI Dialer and AI Texting are the bigger swing behind it.

So if a multi-line power dialer is your single deciding feature this month, buy one of the products above and re-evaluate us at launch. What we would ask you not to do is buy a dialer without asking question 1 or question 2 — those are the ones that quietly end campaigns.

Frequently Asked Questions

What should I look for in a dialer for insurance sales?

Spam-flag monitoring and remediation, enforced calling windows and consent checks, a clear abandonment policy if it is multi-line, transparent total cost including minutes, and dispositions that automatically schedule the next attempt. Connect quality and support during selling hours matter more than feature count.

Why did my phone number start getting flagged as spam?

High dial volume from a single number, low answer rates, and complaints all contribute to carrier spam labeling. Ask any dialer vendor whether reputation monitoring and remediation are included, because rotating to new numbers indefinitely is a treadmill, not a fix.

Is a multi-line dialer worth it?

It raises contacts per hour and also creates abandoned calls, which carry regulatory exposure. It is worth it only with a vendor that has an explicit abandonment-rate policy and enforces it rather than leaving compliance entirely to you.

Should my dialer and my CRM be the same system?

If they are separate, you own the integration and the sync failures. The practical test: when you set a callback in the dialer, does it appear immediately on the lead record your team works from?

Can I dial purchased or aged leads?

Only with proper consent evidence and within legal calling windows for the contact’s location. A platform that fails closed — refusing a call it cannot justify — is protecting you, even when that is inconvenient.

Ask the Nine, Then Buy

Any vendor worth your money will answer all nine without flinching. The ones who get vague around spam remediation and consent are telling you where their gaps are.
